Who we are

British Bag is a trading name of British Bag Co, registered in England and Wales (company number [XXXXXXXX]). Our registered office is at 6 Youngs Orchard, Stroud, GL5 2RU.

We supply custom branded paper bags to independent retailers across the UK. This policy explains what personal information we collect when you use our website or contact us, why we collect it, and what we do with it.

What information we collect

When you submit a contact form or enquiry, we collect your name, business name, email address, phone number (if provided), and — if you've requested a sample pack — your delivery address. We also collect any information you choose to share in the notes field of the form.

When you visit our website, we may automatically collect technical information including your IP address, browser type, device type, and pages visited. This is collected through cookies and analytics tools (see the Cookies section below).

When you become a customer, we additionally hold your order history, bag specifications, and stored artwork files in order to manage your account and process reorders.

We do not collect payment card information directly. Any payment processing is handled by a third-party provider and is subject to their privacy policy.

Why we collect it and the legal basis for doing so

We use your information for the following purposes:

To respond to your enquiry and provide a quote. When you contact us, we need your details to come back to you with advice, samples, and pricing. The legal basis for this is legitimate interests — you've contacted us because you want a response, and responding is the obvious purpose.

To send you a free sample pack. If you've requested samples, we need your delivery address to post them to you. The legal basis is legitimate interests — you've asked us to send something to you.

To fulfil your order and manage your account. Once you become a customer, we use your information to process orders, manage production, arrange delivery, and store your artwork and specifications for reordering. The legal basis is performance of a contract.

To contact you about reorders. We may reach out when we think you're likely to be running low, based on your order history. The legal basis is legitimate interests — this is a direct service benefit to you as a customer, and you can opt out at any time.

To improve our website and understand how people use it. We use analytics data to understand which pages are useful and how visitors find us. The legal basis is legitimate interests.

We do not use your personal data for automated decision-making or profiling.

Who we share your information with

We share your information only where necessary:

Our UK manufacturing partner. To fulfil your order, we pass your order specifications and artwork to our manufacturing partner. We do not pass your personal contact details unless it is necessary for delivery purposes.

Delivery providers. If your order or sample pack is despatched directly to you, your name and delivery address will be shared with the courier or postal service used.

Analytics and website services. Our website uses third-party tools to understand visitor behaviour (see Cookies below). These providers process data on our behalf and are bound by data processing agreements.

Legal and regulatory requirements. We may disclose your information if required to do so by law, or to protect the rights, property, or safety of British Bag, our customers, or others.

We do not sell your personal data. We do not share it with third parties for their own marketing purposes.

How long we keep your information

Enquiries that do not result in an order — we retain your contact details for up to 12 months, after which they are deleted unless you have placed an order or made further contact.

Customer records — we retain your information for the duration of the customer relationship and for 7 years thereafter, in line with HMRC requirements for financial records.

Artwork and specification files — we retain these for as long as you are an active customer, to enable reordering. If you ask us to delete them, we will do so.

Website analytics data — retained in aggregated, anonymised form. IP addresses are not stored beyond the analytics processing period.

Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

The right to access — you can ask us what information we hold about you and receive a copy of it.

The right to correction — if any information we hold is inaccurate or incomplete, you can ask us to correct it.

The right to erasure — you can ask us to delete your personal data where there is no compelling reason for us to continue holding it. Note that we may be required to retain some information for legal or contractual reasons.
